SUBMITTING AUTHORS MUST REGISTER FOR THE WORKSHOP PRIOR TO SUBMITTING AN ABSTRACT.
Registration opens Tuesday, February 1.
A link to the abstract submission page will be provided in your registration confirmation email. If your abstract is NOT accepted for either a poster or an oral presentation, you will be refunded your Workshop registration fee upon request. If your abstract is accepted for poster or oral presentation the standard cancellation policy applies.
Each Workshop registration includes one abstract submission. A single author may submit additional abstracts for a fee of US $100 per abstract. If you submit more than one abstract, you must note this on your Workshop registration form and pay the additional US $100 per abstract fee. You may access your registration form through April 8 to pay for additional abstract submissions.
The submitting author must be the same person who will present the abstract at the Workshop. All accepted abstracts will be printed in the IHW 2012 abstract book. A limited number of abstracts will be selected for oral presentations in the workshop sessions or satellite meetings. All abstracts selected for oral presentations will be accepted for a poster presentation as well.
ABSTRACT SUBMISSION PROCEDURE
You will receive a link to submit your abstract in your registration confirmation. Once you receive this link, simply follow the instructions and prompts on each page of the submission site to complete your abstract submission.
- Log in with your email address and create a password. Record and file your password for future use. You must use the same email and password to login to your account.
- Read and accept the Deadlines and Procedures Agreement.
- Enter Presenting/Submitting Author information.
- Enter Additional Authors information. Authors’ names will appear in the order they were entered in the submission site. The primary author’s name will be underlined and their email address published in the abstract book.
- Enter your abstract title in sentence case. (This is a sample of sentence case.) Titles are limited to 150 characters.
- Please do not enter any information, such as author’s names, contact information, institution, or abstract titles in all capital letters. Capitalize letters only as necessary.
- Indicate whether or not your abstract should be considered for an oral presentation.
- You have the option of selecting which satellite workshops you would like to consider your abstract for oral presentation should teh abstract not be elected for oral presentation at th emain Workshop sessions.
- Indicate your abstract topic and alternate topic.
- Copy and paste your abstract into the space provided.
- Review your abstract. Confirm all special characters appear properly and that the abstract does not exceed the 300 word limit. Abstracts are automatically cut at 300 words. Any word exceeding the 300 word limit is therefore automatically excluded from the abstract.
- Save your abstract by clicking the save button on the bottom of the screen. You can return to this page to edit your abstract at any time until the deadline.
ACCEPTANCE OF ABSTRACTS
Compliance with all stated conditions including adherence to the deadline is required for any abstract to be considered. Acknowledgement of receipt of completed abstracts will be sent via email upon submission. Submitters will be notified of acceptance status and form of presentation by Friday, May 25, 2012. The Organizing Committee reserves the right to decide whether a submission will be accepted, and the right to determine the presentation form.
Submitting authors must register for the Workshop in order to submit an abstract. The abstract submission period closes on Sunday, April 8, 2012. Be sure to register early!
Scholarships
Post doctoral fellows, graduate students and other trainees can apply for travel support when registering. Awards are based mostly on scientific quality. Abstracts must be submitted by the early March 22 deadline to be eligible for pre-workshop travel awards. Women, minority participants, and participants from countries where funding for science is severely limited are strongly encouraged to submit abstracts and apply for travel support.
All scholarships are awarded to the awardees’ institution and are not transferrable. Checks are mailed to the trainee’s primary supervisor based on the assumption that the travel was supported by research grants to the supervisor. Awards are limited to one per person. Multiple awards to the same group are unusual.
Pre-Workshop Travel Support
1. Early Support Awards
Pre-Workshop Travel Awards are supported in part by generous donations from the Western School of Veterinary Medicine, The Faculty of Medicine, and The Vaccine and Infectious Disease Institute, University of Saskatchewan, as well as the 2011 Gdansk IHW meeting. Support is available to post doctoral fellows, graduate students and trainees from all countries. Participants from countries where funding for science is severely limited are strongly encouraged to apply.
The goal of the early support program is to provide opportunities for labs that receive early funding to register an additional post doctoral fellow, graduate student or trainee who may not have been able to attend otherwise.
To be considered for pre-workshop support, you must:
- Be a post doctoral fellow, graduate student or trainee
- Register and pay for the workshop
- Submit an abstract by the early deadline of Thursday, March 22, and indicate your need for support on the abstract application.
Applicants meeting these criteria will be considered for pre-workshop travel support. Notification of these awards will be sent on Friday, March 30. These awards will cover the lodging cost for the duration of the meeting, for arrival on Friday, August 3 and departure on Thursday, August 9. Accommodations will be booked at the Delta Bow Valley hotel and paid for directly by the IHW 2012. These double rooms can be shared with another member of the group (or any other participant at your discretion).
2. Pre-meeting International Awards
As a complement to the funding provided by the NIH (described in post-workshop trave support item 2), which is only available to American trainees, the organizers of last year's IHW at Gdansk have created a fund that provides financial support for trainees in Europe, Asia, Africa, Oceania, and Latin America and the Caribbean. Awardees will be selected by last year's organizers and informed approximately three weeks after the selection of the abstracts for oral presentation.
To be considered for early International pre-workshop support, you must:
- Be a post doctoral fellow, graduate student or trainee in Europe, Asia, Africa, Oceania or Latin America and the Caribbean
- Register and pay for the workshop
- Submit an abstract by the regular deadline of Sunday, April 8, and indicate your need for support on the abstract application.
Applicants meeting these criteria will be considered for pre-workshop travel support. Notification of these awards will be sent approximately three weeks after the selection of the oral presentations. The US $750.00 checks will be mailed to the primary supervisors.
Post-Workshop Travel Support
There are two funding sources for post workshop travel awards.
- Support is available to post doctoral fellows, graduate students and trainees from all countries. Participants from countries where funding for science is severely limited are strongly encouraged to apply. Funding for these awards is determined three to five months following the workshop. Checks are distributed in US dollars payable to the awardees’ organization.
- Funds granted the organization by the US National Institutes of Health (from NCI and NIAID) can only be used for trainees who are US citizens working in US laboratories with a social security number. These awards are distributed through Oregon Health Science University in US dollars one to two months after the workshop.

- Only abstracts submitted by the early deadline of March 22 will be considered for pre-workshop travel support.
