ACCEPTANCE OF ABSTRACTS

Compliance with all stated conditions including adherence to the deadline is required. Acknowledgement of receipt of completed abstracts will be sent via email upon submission.

 

The Organizing Committee reserves the right to decide whether a submission will be accepted, and the right to determine the presentation form.  Submitters will be notified of acceptance status and form of presentation by Friday, 17 May 2019.

 

Speaker Information

 

All oral presenters must provide their final presentation (16:9 format) on a USB drive at Speaker Check-In during the designated times. Both Mac and PC laptops will be used and equipped with the latest software. Presentations should be provided in Keynote or PowerPoint. Personal laptops may not be used. The Speaker Check-In schedule is in place to ensure that all sessions run smoothly. Failure to to submit your presentation as indicated may result in technical errors or mission graphics for your presentation.

Oral Presentation Guidelines

  • Keynote presentations are 35-minutes plus 5-minutes for questions and answers.
  • Symposia presentations are 20-minutes plus 5-minutes for questions and answers.
  • Oral abstract presentations are 10-minutes plus 2-minutes for questions and answers. 

 

Presenter Guidelines

  • Arrive to your presentation room 15-minutes prior to the session start time to familiarize yourself with the microphone, slide advancer, and stage set-up.
  • Please be seated at the front of the presentation room in the row reserved for speakers.
  • The Session Chairs will introduce you and monitor the length of the presentation. 
  • A speaker timer will be visible from the podium.
  • A laser pointer and slide advancer will be available at the podium for your use. 
  • All mobile phones must be turned off while you are presenting. 

 

Poster Requirements

  • Poster presentation space is limited to the dimensions of 44 inches x 44 inches (112 cm x 112 cm)
  • Push pins will be provided to affix your poster to the display board.
  • All posters must remain up for the duration of the Conference.
  • At least one of the authors must be present at your poster during the presentation session designated for the poster topic.

 

Suggested Poster Format

  • Poster numbers will be provided onsite. Poster numbers will be placed above your poster; you do not need to leave room on your poster for your poster number.
  • Posters should be easily read at a distance of 1.5 meters (5 feet).
  • A poster printed on one large sheet of foldable fabric or matte/semi-gloss paper is encouraged. 
  • Include the title of the presentation in large letters, the authors' names, and the institution(s) where the work was completed at the top center of the poster.
  • Introduction and Summary/Conclusions sections are advised.
  • Lines of text should be double-spaced.
  • Only text, graphs, photographs, and artwork may be placed on the poster board.

Poster Presentations

Poster sessions are scheduled based on topic and the last two digits of your poster number (poster assignments were sent out to the main presenter. You can also view the poster assignment list here). For example, 1.01 is an odd numbered abstract; whereas 1.02 is an even numbered abstract. At least one of the authors must be present at the poster during the presentation time as scheduled below. Please see the below grid to determine your scheduled time.

Presenters may set up their posters beginning on Saturday, 20 July between the hours of 8:30- 17:00 and on Sunday, 21 July between the hours of 8:30 – 17:00. All posters must be set up by 17:00 on Sunday, 21 July. Poster Dismantle will be Wednesday, 24 July between the hours of 8:00 – 14:00. Posters not removed by 14:00 will be discarded.

 

The local Fedex Office prints posters for $114.56 and is located about 1.5 miles from the Convention Center at 2010 Cumberland Ave. Suite 4, Knoxville, TN 37916 (Phone # 865.523.8213).
