Presenter Guidelines

 

Oral Presentation Guidelines

  • Keynote presentations are scheduled for 35 minutes plus 5 minutes for questions and answers.

  • Symposia presentations are scheduled for 20 minutes plus 5 minutes for questions and answers.

  • Oral abstract presentations are scheduled for 10 minutes plus 2 minutes for questions and answers, unless otherwise specified in the abstract disposition notice. All oral abstract presenters are scheduled to present a poster as well. 

 

Speaker Check-In

All oral presenters must provide their final presentation on a USB stick at Speaker Check-In during the designated days and times below. The Speaker Check-In schedule is in place to ensure that all sessions run smoothly.  Failure to submit your presentation as indicated may result in technical errors or missing graphics for your presentation.  

 

Both Mac and PC laptops will be used and equipped with the latest software:

Mac = Keynote 6.6.2

PC = PowerPoint 2017

Presentations should be provided in Keynote or PowerPoint.  Personal laptops may not be used.

Presenter Guidelines

  • Arrive to the presentation room 15-minutes prior to the session start time to familiarize yourself with the laser pointer, slide advancer, and stage set-up.
  • Please be seated at the front of the presentation room in the row reserved for speakers.
  • The Session Chair will introduce you and monitor the length of the presentation.
  • A speaker timer will be visible on the podium.
  • A laster pointer and slide advancer will be available at the podium for your use.
  • All information communicated by presenters should be considered "personal communication." Please seek permission from the presenter before quoting unpublished research results or using data as a basis for further investigations.
  • Photographs or recording (audio or visual) of data, whether displayed on screens, in posters, or elsewhere is forbidden.
  • All mobile phones must be turned off while you are presenting. Mobile phones on silent will cause feedback with the microphones. 

 

Poster Requirements

  • Poster presentation space is limited to the dimensions of .9-meter in length (35 inches) and 1.5-meter in height (59 inches).
  • Posters must be affixed to the boards with heavy adhesive tape or double-sided tape - please bring your own tape. 
  • All posters remain up for the duration of the Workshop.
  • Photography is prohibited in the poster sessions.
  • At least one of the authors must be present at your poster during your designated poster session time.

 

Suggested Poster Format

  • Poster numbers will be provided on-site and will be placed above your poster; you do not need to leave room on your poster for your poster number.
  • Posters should be easily read at a distance of 1.5 meters (5 feet).
  • A poster printed on one large sheet of matte or semi-gloss paper is encouraged. 
  • Include the title of the presentation in large letters, the authors' names, and the institution(s) where the work was completed at the top center of the poster.
  • Introduction and Summary/Conclusions sections are advised.
  • Lines of text should be double-spaced. 
  • Only text, graphs, photographs, and artwork may be placed on the poster board.

 

Poster Presentations

Poster Setup

Presenters may set up their posters on Saturday, 29 July between the hours of 13:00 – 17:00 and on Sunday, 30 July between 10:30 – 17:00.  The poster area will open on Sunday, 30 July at 17:30.  All posters must be installed no later than 17:00 on Sunday, 30 July. 

 

Presentation Requirements

All posters remain up for the duration of the Workshop.  At least one of the authors must be present at the poster during the poster session time as listed below.  The last two digits of the poster number will determine which session to present at:

Poster Dismantle

Posters can be removed beginning at 19:00 on Tuesday, 1 August through 13:30 on Wednesday, 2 August. Posters remaining after 13:30 on Wednesday, 2 August will be discarded.
