Registration FAQs

 

1. I am having trouble getting started with the online registration. 
Please visit the IHW 2017 registration webpage: http://www.herpesvirusworkshop.com/2017/Registration-Information
Click on the “Register Now” button. Enter your name and email address and select “Attendee” as your registration type from the drop-down menu. Click “Next” to continue your registration on the next page. Instructions on the top of each page will guide you through the process.  

 

2. I cannot find my Registration Confirmation email. 

All registrants are sent a Registration Confirmation email automatically after they have completed their registration. It serves as the official invoice, and is emailed to the address you use when registering. If you enter your email address wrong, it may be sent to the wrong address. If you enter an alternate email address, your confirmation is sent there as well. We have found that some companies have strong spam/junk mail filters that filter out these emails. Please make sure to check the spam or junk folders. If you cannot locat your Confirmation, please email Register@ConferenceSolutionsInc.com to recieve a copy of your Registration Confirmation.

 

3. How do I register my group all on one order?

  • Visit the conference registration website.
  • Register either yourself or the first person in your group.  
  • On the Registration Summary page, there is an “Add Person” button on the top right.
  • Click on “Add Person” and repeat the registration process. You will repeat this process for each member in your group.
  • When you have registered all members in your group, click the “next” button on the Registration Summary page, and continue with the payment to complete the order.  

 

4. How do I register on behalf of someone else?

  • Visit the conference registration website.
  • On the first page of the conference registration website, there are fields to start a registration: First Name, Last Name, Email Address, and then you must choose a registration type.  
  • Underneath the registration type, you can check the box that says “I am registering on behalf of this person”. Once you check that box, a few new fields will pop up, asking you to enter YOUR information.
  • These fields are required if you want to receive email confirmations that the registration is complete. If you do NOT want to receive these emails or confirmations, you can uncheck the box, and continue to register on behalf of the attendee.

 
5. Can I just attend one day of the conference?
One-day registrations are not available for this conference.

 

6. I just want to attend the Satellite Workshops – is that possible? 
The Satellite Workshops, including the full-day Veterinary Satellite workshop, are included with the Conference Registration Fee. If you plan on attending ONLY the full-day Veterinary Satellite Workshop, please click here to register. In order to attend any of the other Satellite Workshops, you must register for the full conference. 

 

7. I have already completed my registration, but I need to modify it. How can I do that?
Go to the registration webpage and click on "Register Now". Then click on "Already Registered?". You will need to enter your email address (that you used when registering) and your Confirmation Number, which was sent to you in your Registration Confirmation email. Once you log in, you will be able to “modify” your registration by clicking the “Modify” button on the top left of your registration page. You should be able to click through all of the registration pages and make any changes, including adding excursions or hostels. You will NOT be able to cancel your registration. To cancel, please email Register@ConferenceSolutionsInc.com.

 

8. I can no longer attend the conference, but my colleague is available. What is the substitution policy?
Payment of a $50 administrative fee enables you to transfer your registration to another person, simply by emailing Register@ConferenceSolutionsInc.com. Substitutions will be transferred at the same rate as the original registration. Substitutions can be made up until the pre-registration deadline of 10 July, 2017, or at the onsite Registration Desk.

 

9. I need to cancel my registration. What is the cancellation policy?
We understand that events may occur that prevent you from attending the conference. We are happy to accommodate a refund for your purchase if you are unable to find a substitute prior to the deadline. Cancellation requests must be made in writing by emailing Register@ConferenceSolutionsInc.com. Cancellations received by 10 July, 2017 will be refunded, less a $175 USD administrative fee. Unfortunately, no refunds will be given for cancellations requests after 10 July, 2017. Refunds of credit card payments will be made to the same account used for the payment.


If, for any reason, the conference should be cancelled, IHW 2017 will refund the registration fee. The conference is not responsible for the refund of airfare, hotel, or other costs. 

 

10. I still want to attend the conference, but need to cancel an excursion. What is the cancellation for excursions? 
Purchase of excursions are non-refundable. 

 

11. Can I obtain a Certificate of Attendance?
Yes, a Certificate of Attendance will be included in the Abstract Book and will be provided electronically on the website after the Conference. 

 

12. Are you offering CME Credits?
CME credits are NOT being offered for this Conference.

 

13. I have some dietary restrictions/special needs. How do I inform the conference planners?
The Conference can accommodate a limited number of dietary restrictions (such as vegetarian). You will be able to enter any special needs information during the registration process. A member of our team will be in touch to assist you prior to the conference, as needed.

 

14. Where will the conference registration desk be located?
The conference will be held at the ICC International Convention Center Ghent, Van Rysselberghedreef 2, 9000 Gent, Belgium. The Registration Desk will be located in Minne Square, Level 1 of the Convention Center, and will officially open on Saturday, 29 July, 2017, at 7:30am.


15. I would like to reserve a hotel room in Ghent. Which hotel should I contact?
IHW 2017 has many different options for hotel and hostel accommodations for this year’s conference. Please visit the Accommodations Page for detailed information about booking a room. 

 

16. All the hotels listed on your website are booked, what do I do?
IHW 2017 has worked to provide accommodation reservations to best meet the needs of our attendees. If all hotels and hostels we have listed are booked, we suggest that you use hotel booking sites to search for appropriate accommodations. Kayak.com or Hotels.com are two examples you may use. 

 

17. How do I get from the conference hotels and hostels to the ICC?
IHW 2017 attendees will receive a complimentary tram pass ("De Lijn").  The most convenient route from the hotels to the ICC is on Tram Line 1 (red line).    From the city centre, take the "Korenmarket" stop to the "Van Monckhovenstraat" stop and walk 7 minutes across the Citadelpark to get to the entrance of the ICC.
