PRESENTATION GUIDELINES

ORAL PRESENTATIONS

  • Keynote presentations are scheduled for 35 minutes plus 5 minutes for questions and answers.
  • Symposia presentations are scheduled for 20 minutes plus 5 minutes for questions and answers.
  • Oral abstract presentations are scheduled for 10 minutes plus 2 minutes for questions and answers. All oral abstract presenters are scheduled to present a poster as well.

Speaker Check-In

All oral presenters must provide their final presentation on a USB drive at Speaker Check-In during the designated days and times below. Both Mac and PC computers will be used on-site and equipped with the latest software. Personal laptops may not be used. Presentations should be provided in Keynote or PowerPoint. Please format your slides for “widescreen” (16:9 format).

The Speaker Check-In schedule is in place to ensure that all sessions run smoothly. Failure to submit your presentation as indicated may result in technical errors or missing graphics for your presentation.

Presenter Guidelines

  • Arrive to your presentation room 15-minutes prior to the session start time to familiarize yourself with the microphone, slide advancer, and stage set-up.
  • Please be seated at the front of the presentation room in the row reserved for speakers.
  • The Session Chair will introduce you and monitor the length of the presentation.
  • A speaker timer will be visible on the podium.
  • A laser pointer and slide advancer will be available at the podium for your use.
  • All information communicated by presenters should be considered “personal communication.” Please seek permission from the presenter before quoting unpublished research results or using data as a basis for further investigations.
  • Photographs or recording (audio or visual) of data, whether displayed on screens, in posters, or elsewhere is forbidden.
  • All mobile phones must be turned off while you are presenting. Mobile phones on silent will cause feedback with the microphones.

Poster Requirements

  • Poster presentation space is limited to the dimensions of 44 inches x 44 inches (112 cm x 112 cm)
  • Push pins will be provided to affix your poster to the display board.
  • All posters must remain up for the duration of the Workshop.
  • At least one of the authors must be present at your poster during the presentation session designated for the poster topic.

  • Suggested Poster Format
  • Poster numbers will be provided onsite. Poster numbers will be placed above your poster; you do not need to leave room on your poster for your poster number.
  • Posters should be easily read at a distance of 1.5 meters (5 feet).
  • A poster printed on one large sheet of foldable fabric or matte/semi-gloss paper is encouraged. 
  • Include the title of the presentation in large letters, the authors' names, and the institution(s) where the work was completed at the top center of the poster.
  • Introduction and Summary/Conclusions sections are advised.
  • Lines of text should be double-spaced.
  • Only text, graphs, photographs, and artwork may be placed on the poster board.

 

POSTER PRESENTATIONS

Poster Setup

Presenters may set up their posters beginning on Saturday, 21 July between the hours of 15:00 – 17:00 and on Sunday, 22 July between the hours of 8:30 – 17:00. All posters must be set up by 17:00 on Sunday, 22 July.

Poster sessions are scheduled based on topic and the last two digits of your abstract presentation number. For example, 1.01 is an odd numbered abstract; whereas 1.02 is an even numbered abstract. The scheduling grid will be posted in mid-May

Poster Dismantle

Posters can be removed immediately following Poster Session III on Tuesday, 24 July beginning at 19:00 through Wednesday, 25 July at 13:30. Posters remaining after 13:30 on Wednesday, 25 July will be discarded.
